How To write a Thank You Note (With Sample template) after interview

You recently completed an interview with a big firm and everything went relatively smoothly. You were able to answer all interview questions that the hiring manager had for you and are hopeful for the final call. 

However, you may be surprised to know that even after clearing all the aptitude tests and acing the interview, you still need to be done!

Many hiring managers may still be hesitant as to whom to award the position, given the stiff competition there is for a high-paying job. Therefore, although often unfair, most hiring managers pay attention to whether you write a thank you email after the interview.  

So, what do you have to do to land a job? We advise you to follow up with a thank you email as soon as you finish the interview to show that you appreciate the hiring manager’s time. To help you out, we created a detailed guide and added a helpful template to get started.

How to write a perfect interview Thank You Email

Begin with a subject line

The most important part of a thank you email is the subject line that tells the hiring manager exactly what they are looking at. But it is important to make sure the subject line is concise and to the point. You may include your name or initial in the subject line however, it is important to ensure that the subject is of appropriate length. So, a simple “Thank you for the interview today” can actually be a good subject line. 

Salutations

It is advised to start the thank you email with a salutation. It can either be “Hello” or “Dear” followed by the name of the hiring manager. You also have the option to skip the Salutations and directly address the hiring manager by name, but do make sure to use the full name and not just the first name. 

Showing gratitude

Showing gratitude can take you a long way so do not hesitate to highlight some of the specifics that you have picked up during the interview. You may include your gratitude for getting a call for the interview or for giving feedback on your performance at the end of the interview. Anything will work, just focus on how enthusiastic you are to have the job. 

Differentiate yourself from others

A hiring manager has most likely taken interviews of multiple candidates and is now deciding on whom to award the job. A good strategy may be to differentiate yourself from the other candidates, by mentioning any relevant incident that happened with you during the event. This can be as simple as a topic that you discussed or anything that would remind the interviewer about you. You may wish to include the company name and the role you applied for better engagement with the interviewer. 

Conclude the thank you note with a “Call to action”

Let’s face it, the main purpose of sending a thank you note to the interviewer is to establish a positive relationship that may tilt the final hiring decision in your favor. So the final step in the thank you note is to end with a call to action indicating that you are looking forward to the next stage of the application process. You may include a personal statement or a unique skill that brings value to the company you are applying for. But make sure you do not have it lengthy, a short but impactful “Call to action” brings the most success. 

Sign off with your name and contact information

After the conclusion, you can sign off the thank you note with a professional signature. You can use “With Best Regards”, “Yours Sincerely” or any other closing statement. Also, do not forget to include your full name and contact information like your phone number which can help the interviewer connect with you faster.

Hello [name],

Thank you very much for dedicating your time and attention to our interview earlier today. I am genuinely excited about the prospect of joining [company name] as a project manager. The role aligns perfectly with my career aspirations, and I am eager to step into it.

I want to express my sincere gratitude for the valuable time and unwavering support you provided during our discussion. Additionally, I believe my experience at [company name] has equipped me with skills that are readily transferable and can greatly benefit your team. My qualifications seamlessly match the requirements of the position, and I am eager to demonstrate my abilities.

Should you have any further inquiries or require additional information, please don’t hesitate to reach out to me at your convenience. Thank you again for the opportunity, and I look forward to the possibility of joining your team.
